Sharp MX-4101nx cannot locate smtp server

    Sharp MX-4101nx cannot locate smtp server

    Greetings. My customer's Sharp MX-4101NX would not scan to email even though it can still print from their workstation as well as copy and fax. The network admin changed the email server from smtp.office386.com to smtp.gmail.com:465, and set the DNS primary to 8.8.8.8 and the secondary to 4.4.4.4.. Good news no more CE-00 error. Bad news, when performing the connection test, we get the following message: "Server host name cannot be resolved. Please check DNS settings". If anyone has run into this and/or have a way to resolve this, your assistance would be appreciated.

    By the way, the reason for the change of smtp servers is the the smtp.office365.com uses the TLS which this copier does not have. I believe it is part of a firmware upgrade, which I don't have access to (I'm not a Sharp technician). Sharp service center says it will cost $220.00/hour for a certified tech to come out and resolve it.

    First:
    smtp.gmail.com:465 Do you mean you are literally putting this in the hostname field? Usually the :465 port designation is not written to the Hostname field. Unless the Sharp programming separates the 2 and submits only smtp.gmail.com to DNS it won't resolve, DNS only cares about names not ports.
    If there is no place to specify the Port and Auth method (OFF, SSL/TLS or StartTLS) then you aren't gonna fool it like that.

    Second:
    The :465 is an attempt to specify port 465 which is still an SSL/TLS port.

    You need to find one of the posts here about Port 25 set-up for Gmail's restricted server or google the method for your Google Account type, or set up a relay app.

    O365 has a Port 25/No Auth option (with restrictions), no need to have changed providers BTW and Gmail's unrestricted servers have the same TLS requirement, so the 'IT' person sent you both down a bad road.

    The restrictions can be no email outside of domain/enterprise among others.

      Both Google and Microsoft have support documents for configuring scanning devices to be able to scan emails to them. The main problem is that all SMTP providers are in the process of phasing out support for devices that do not use TLS. Possible new equipment sales opportunity.

      The network administrator has some work to do to setup the companies Google Workspace to accept scans using Googles relay service smtp-relay.gmail,com. However gmail must first be configured by Signing in using the administrator account. Unless you are their Google Workspace administrator, it is not your responsibility.
