Ricoh MP C305 Scan to Email (Transmission has Failed)

    Hi,

We are facing a problem in Ricoh MP C305 about scan to email. Using Gmail. The settings works for the other model c3003 but not working with these C305 models. It fails and error occurs "Transmission has failed" I was wondering if anything is required particularly for this model? Gatway, DNS server, Smtp server address all are correct. Same settings same email is being used in other model and its working there. SMTP authentication is ON.

    Any Idea?

    Thanks

is the firmware up to date? its been a while and cant remember where to find it on web image monitor but you could print out detailed network configuration list from user tools and on last page it will give you some smtp errors that can point you in the right direction. print this after a scan failed because it clears on rebooting

Have you properly configured Two-Factor-Authentication (2FA) for Gmail? Google calls it 2-Step Verification. I know the C2003 supports it. The C305 might not. If not the following might help. Send email from a printer, scanner, or app - Google Workspace Admin Help

If your FW is up to date then the Network Support ver should be at Ver.12.40

I can't remember if in that model you can configure SSL for Gmail in WIM or if it can be done in the administrator tools in the menu of the machine. Do you get the same configuration in WIM for both models?

As I remember, only in User Tools.

C305 will not work with 2FA over SSL/TLS
They'll need to use some sort of unencrypted configuration, or stunnel on that old one.

However, weirdly, on that note I just moved someone over to using their Google for scanning today, and while a typical xxx@gmail.com address requires 2FA be enabled, theirs is a company email hosted by google, and when I logged into that users account to make the necessary settings, there was no 2FA option to enable, it still had the "Use less Secure Apps" option. It's my first experience with this, however I'm still not sure a C305 will work in that way

With a company or organizational email hosted by Google, they can use Option 3 in the link I posted. The device is authenticated by the IP address(public of the gateway) and or domain. IP address authenticates every device behind the gateway. Domain authenticates every device within the domain. Their workplace administrator should know how to make the entries to their Google workspace. The only draw back is each user is limited as to how many emails a day that can be sent but it is a rather large number. In the thousands if I remember correctly. They are also limited to sending to other Google accounts. So they can send to themselves and then forward.

You can configure the "set password for apps" in the google account setting, but 2FA must be enabled... You can choose "email application", it generates (i dont remember if you can choose it) a password that you can use in the Mp305 to access the gmail account.

Thanks for the reply. In the smtp errors it gives "Failed to connect to SMTP Server" Connection closed. Printer is connected with the internet. Gmail 2 step athentication and verification all okay and working fine. Tested the same settings on C3004 its working there. Port 465, smtp.gmal.com, Email, App password all entered correctly and double checked.

Before paying anyone for firmware that you may not actually need, go into WIM and check if a valid Site certificate is installed and make sure that it has not expired. Google requires a valid certificate for SSL TLS/StartTLS. You have to export an acceptable certificate from your browser to folder on you drive and then import in in WIM.

I know my contribution is silly but in a sp5210, a similar case.
all the other machines in the company worked well.(5502 )
I asked the engineer if they had set aside or enabled the MAC and the IP and he told me that they totally damaged my vacation on December 30.

I removed the assigned ip and put the machine through DHCP so the system assigned another and IP and full, the email flew out,

In reality, they had not set aside or enabled the previous IP and that is why the email did not come out.
