    [Misc] Need some guidance for Printer Accounting with Ricoh copiers

    I was hoping someone will be kind enough to help me with this particular issue.

    I have a Real Estate office client that has 6 remote offices and one head office. They want to be able to track all printing and copying costs for their agents. In each of the offices there are approximately 5-10 publicly accessible workstations where an agent can sit down use and print. The copiers in the offices consist of 3-4 Africia 4100 as well as two colour copiers such as C2500.

    The issue is this:

    1) They don't want to have to manage 600 logon profiles. They use one AGENTS profile.
    2) They want to be able to add users globally (if possible).
    3) They want a pop up which asks for the agent for pin codes.
    4) If possible a central way of reporting all the jobs.

    We've looked into Print Director but it's very cumbersome and if the connection goes down between the offices it stops printing.

    So any suggestions would be helpful.

    BTW I've seen canon copiers whereby the print drivers pop up a pin code prompt and it will not print unless the accounts is active.

    Any help appreciated.

    Equitrax is what you want I believe but its pretty expensive

      You don't need Equitrac or Papercut to accomplish this.

      Obtain Ricoh's driver modification tool from the following location: Printer Driver Editor

      This will allow you to modify the device specific PCL 6 driver to display a popup requiring the usercode, read the instructions carefully.

      At a device level, you will have to enable 'User Codes' in 'Configuration' --> 'User Authentication Management'. See the manual for more information about this.

      Just saw your other thread where you are asking about a way to manage the copiers from a central location.

      Unfortunately, there is no way to get these devices to sync with AD or otherwise. But, Ricoh provide a device management tool called 'SmartDeviceMonitor for Admin' which will allow you to manage all network connected devices from one Windows based PC. Download here: http://support.ricoh.com/html_gen/util/SDM/SDM.html (scroll down, ignore 'SmartDeviceMonitor for Client')

      This tool will allow you to import/export address books.

        What if an agent where to download a NON edited print driver. Would they be allowed to print even if the User Codes have been enabled?As well, if I were to go this route, how would I get the copy/print totals. Would each office have to pull them off from each of the copiers?We also have those small Africio 4100 small laser printers, how do we track those other then PD or Equitrac.

          Start reading the manuals for your machines, it will explain that once User Codes have been enabled on a function it's not possible to use that function without a valid code.

          SmartDeviceMonitor for Admin can also export User Statistics to a csv file from any Ricoh device that supports it.

          It's manual reading time.

              Dang,

              Aficio MP4100 does not support address book or user codes.
