    e-studio 3508a scan

    my customer has a broken kyocera 3500i that I want to replace with a 3508a they can do without the 6 job separator but the feature they want is to scan to a folder on each of 21 desktops
    I know how to setup remote 1 and remote 2 also scan to mfp local but they want to scan to each computer separatly is this not possible or do you do it by using user boxes i have never been asked to do this before and would like to convince them to use scan to email its so much easier I have the scan guide and the e-file guide so im not looking to be taught how to do it yet right now I just need to know if what I want is possible thanks for your input

    To set up scan to folder to 21 individual network location is a couple of hours of work by the time you track down all of the network paths, Usernames, Passwords and test. It is up to you if you want to include that labor for free or not.

    1. You could show them how to do maybe three storage paths and let them complete the remainder themselves assuming they have an IT support person on staff. This task is made a little quicker by using the "Execute" button in Top Access under Admin/Save As File.

    2. Using the Template feature you could create 21 individual icons on the LCD panel for each person. You could go crazy with extra work and import each person's head shot picture.

    3. With 21 scan paths there will certainly be people who enter/leave employment at this place of business, so expect call backs & billable labor. Get good at performing this task remotely with Windows 10 Quick Assist and by enabling the VPN feature on the copier plus installing a free VPN viewer on at least one computer.

    4. Make sure the e3508A (discontinued) has the latest V1610 firmware installed as this version made great improvements to remote maintenance.

    5. Scan to FileShare (the HDD of the copier) is an easy solution but the users will have to learn how to rapidly move their scans onto their computer and then delete them as everyone can see the content. You can select FileShare to auto delete after one day.

    6. Scan to eFiling is not meant for this customer requirement. e-Filing is for storage of commonly used documents like blank forms.

    7. Depending on the types of documents the customer is sending, scan to email may have file size limitations with certain SMTP client settings.

    8. Best to give the customer an extra cost estimate to set up 21 scan to folder destinations. Most customers usually drop this request when they realize there is a cost to it and go for the free scan to email option.

      Toshibas SMB setup is not the greatest....
      Select Remote 1, then select allow users to pick the folder, this will open up the Remote Settings List. There you can enter the 21 different paths with credentials.

          The method described by Mojorolla works well but likely requires eight keystrokes every time a user wants to make a scan. I think your users may soon find this tedious.

          I recommend you create a one touch "Template" icon on the LCD's first panel. Populate it with your 21 scan destinations and enable Automatic Document Feeder Start via Template Properties.

          The same result is now achieved with three keystrokes that a user can circulate through fast and easy.

          It is very close to the same number of Pro Services hours to complete this task either way.

              We never setup scan to computer (unless its like a really small 2 workstation office) because without IT people proper - it generally breaks all the time when a) user changes password b) windows updates break CIFS/SMB scanning. If they had proper IT, they would be scanning to a single filesharing on a server or NAS that has subfolders for the users.

              In this instance, I would map the fireshare as a local drive on the workstations, setup a 30 day delete policy on the copier and tell them to scan then dragndrop or copypasta andything they want to keep and be done with it.

              If they DID have proper IT, it would be assisting them in setting up Templates for scanning to the subfolders on the server and training on how to maintain/edit the templates

                ... all good reasons why Professional services should be charged when setting up more than three scan paths. I learned this the hard way with a two copier law firm a few years back.

                  If you are just wanting Scan folders on each computer and Privacy isn't a deal breaker you could save time using the Public template feature. Use local scan to file , but create individual sub folders for each user. This requires no username, network path, or password, so setup is quick and cookie cutter like. I agree with Vincent128 if you are wanting a more secure approach. Either server based, or on a work station create a single network path and share the drive out, give it subfolders, but then you can copy network path minus the end-name and copy user and password as well. You can create one username and password by going to Local users and groups and create an admin account with username and password that never expires, then share that folder out creating a network path. You might have to give each subfolder security permissions for the parent folder. Otherwise you have created another copy and paste situation that should save you time. all in all this should not be that big of an undertaking. If it is a new sale I do not charge my customers for such things. Its falls under copier setup, but I build as much as possible at the office and remote in whenever I can.
